Job Description

POSITION OVERVIEW

An experienced commercial real estate team is seeking a reliable, service-oriented Assistant Property Manager to help oversee a Class A office property. This role provides essential support to the Property Manager and ensures smooth day-to-day operations across building systems, tenant services, vendor coordination, and financial reporting. You’ll play a key role in delivering high-quality property management, supporting tenant satisfaction, and maintaining operational excellence behind the scenes.

ESSENTIAL FUNCTIONS

  • Provide day-to-day support to the Property Manager in the oversight of a commercial property portfolio
  • Coordinate with tenants and vendors, maintaining updated contracts, certificates of insurance, and service records
  • Assist with lease administration and ensure compliance with lease terms
  • Support budgeting, reporting, and basic accounting tasks
  • Field and resolve routine building operations issues, work orders, and service calls
  • Assist with scheduling, move-in/move-out coordination, and ongoing tenant communication

RESPONSIBILITIES

  • Maintain strong tenant and vendor relationships and ensure excellent customer service
  • Track and process invoices, review for accuracy, and ensure proper coding
  • Follow up on rent collection and A/R tracking, including late fees or notices
  • Assist in the preparation of monthly financial reports, annual budgets, and operating expense reconciliations
  • Support compliance with ownership policies, property procedures, and regulatory requirements
  • Coordinate with internal departments (accounting, leasing, construction) to support property needs
  • Maintain organized and updated files for building operations and vendor agreements
  • Respond to after-hours emergencies as needed in coordination with the property team
  • Help plan and execute tenant appreciation events and property programming

QUALIFICATIONS

  • Bachelor’s degree preferred
  • 3–5 years of experience in commercial property management or real estate operations
  • Strong customer service and communication skills
  • Familiarity with property management software such as Yardi, MRI, Kardin, AvidXchange, or similar systems
  • Basic accounting knowledge and comfort with budgeting/reporting processes
  • Proficient in Microsoft Excel and Word
  • Highly organized, detail-oriented, and able to manage multiple tasks with accuracy
  • A proactive mindset and a desire to grow professionally in property management
